How to setup the Customer Portal


The Customer Portal is a premium feature in MyCo that gives your members, students, clients, and community a branded self-service space. This guide covers everything you need to set up and manage the portal from your admin account — from initial configuration through to managing pages and controlling what members can see.

Part 1: Getting Started

1. Accessing Portal Settings
All portal configuration is under Customer Portal in your main admin navigation. From here you can access the portal settings, manage portal pages, and navigate to related features such as the People Finder and membership card settings.

2. The Portal Link
Every MyCo account has a unique portal link in the format app.mycentreoffice.com/portal?u=yourcode. You can find this link in your Customer Portal Settings. Share it with your members by email, on your website, or anywhere else you communicate with them.

3. Custom Portal Subdomain
You can configure a custom subdomain so your portal is accessible at an address like yourname.portal.mycentreoffice.com. Once set up, visiting that address redirects automatically to your portal. Custom subdomains give members a more branded and memorable address to bookmark. Contact the MyCo team to configure this for your account.

Part 2: Portal Settings

4. Branding
In Customer Portal Settings you can set the portal name members see at the top of the page, upload your organisation's logo, and set your brand colour. The brand colour is applied throughout the portal — navigation icons, buttons, and highlights all use it. Use your organisation's primary hex colour for a fully branded experience.

5. Login Method
You can choose how members log in to the portal. Two options are available globally across your account:

  • PIN login — members log in with their email address and a four-digit PIN. The PIN is assigned automatically when a contact is created and can be included in welcome emails using the {{pin_code}} merge tag. Members can update their own PIN from inside the portal.
  • OTP login — members log in with their email address and a one-time code sent to their inbox each time they log in. No PIN is required or remembered.

Whichever method you select applies to all members on your account. Choose the method that best suits your membership — PIN login suits members who access the portal regularly, while OTP suits members who log in infrequently and may not remember a PIN.

6. Biodata Permissions
You can choose whether members are allowed to update their own biodata or whether their profile is read-only. When updates are enabled, any changes a member makes are saved directly to their contact record in MyCo — keeping your database current without any manual work on your part.

7. Homework Settings
You can configure whether homework submissions accept free-text responses, file uploads, or both. This setting applies globally to all homework assignments on your account.

8. Visible Sections
Each portal section can be toggled on or off independently. Sections that are turned off do not appear in the member's navigation at all — members never see a disabled or locked page. The sections you can control include:

  • Biodata and Professional profile
  • Payments and dues
  • Inbox
  • Courses
  • Homework
  • Mentoring
  • Elections
  • Membership Card (MyAlumPass)
  • People Finder

The Pages section appears automatically when you have at least one published page — there is no separate toggle for it.

Part 3: Managing Portal Pages

9. What Are Portal Pages?
Portal Pages is a content publishing tool built into the portal. You can create freeform pages that members can browse from a Pages section in their portal navigation. Use pages for partner and discount listings, FAQs, community guidelines, event information, resources, rules and regulations, or any other content you want to make permanently available to your members inside the portal.

10. Creating a Page
Go to Customer Portal > Portal Pages and click Add Page. Give the page a title, choose an icon from the dropdown (icons help members identify pages at a glance), and write your content using the rich text editor. The editor supports headings, images, links, tables, bullet points, and all standard formatting.

Set the page to Published when it is ready for members to see. Leave it as Draft while you are still working on it — draft pages are never visible to members.

11. Reordering Pages
Pages are displayed to members in the order you set. To reorder, drag and drop the pages into the sequence you want on the Portal Pages screen. The order saves automatically.

12. Editing and Deleting Pages
You can edit any page at any time without affecting other pages. To take a page offline temporarily, toggle it to Draft rather than deleting it — this preserves the content for future use. Delete a page only when you are certain the content is no longer needed.

13. Page Visibility
The Pages icon only appears in the member's portal navigation when at least one page is published. If all pages are set to draft, the icon disappears automatically. There is no need to manually hide the section.

Part 4: Sending Members to the Portal

14. Welcome Emails and Onboarding
The most reliable way to get members into the portal is to include the portal link and their login credentials in your welcome email or registration confirmation. Use the following merge tags in your email templates:

  • {{pin_code}} — the member's four-digit PIN (if using PIN login)
  • Your portal URL — copied from Customer Portal Settings

You can automate this using MyCo's Workflows feature — trigger a welcome email containing the portal link and PIN when a form is submitted, a product is purchased, or a course registration is confirmed.

15. Sharing the Portal Link
You can add the portal link to your email signature, your website, and any member communications. If you have a custom subdomain configured, that address is easier to remember and looks more professional in member-facing materials.

Part 5: Common Questions

16. Can members see each other's data?
No. The portal is fully isolated per contact. Each member sees only their own data. The People Finder is the only place where member information is shared, and only for members who have explicitly opted in to being searchable.

17. What if a member does not have an email address on their record?
Members without an email address cannot log in. Email is required for authentication. Add email addresses to contact records before directing those members to the portal.

18. Can a member change their email address from the portal?
No. Email address changes must be made by an admin from the contact record. This protects against unauthorised account access.

19. Is the portal mobile-friendly?
Yes. The portal is fully responsive and works on all screen sizes. Members do not need to install an app — it runs in any modern browser on phone, tablet, or desktop.

20. How many pages can I create?
There is no hard limit on the number of portal pages. That said, a long list of pages is harder for members to navigate — grouping related content into one well-structured page is usually more effective than many short individual pages.

21. Can I show different portal sections to different groups of members?
Section visibility is currently configured at the account level and applies to all members equally. For delivering different content to different groups, use the Pages feature alongside MyCo's email and automation tools to target specific segments with relevant communications.
