How to Post and Manage Opportunities on the Notice Board


Introduction

The Notice Board allows you to manage a community-facing board where members can discover and share opportunities — including jobs, business partnerships, volunteer roles, mentorship programmes, and events.

As an admin, you have full control over what appears on the Notice Board. You can create opportunities directly, review and approve or reject member submissions, feature important listings, and deactivate opportunities that are no longer relevant.

Member submissions are never published automatically — every submission goes through your approval queue before becoming visible to the community, giving you full editorial control.

Accessing the Notice Board

1) From the admin menu, navigate to Notice Board.

2) You will see a list of all opportunities with tabs to filter by status:
  • Active — approved and currently live on the member portal
  • Pending — submitted by members awaiting your review
  • Inactive — approved but deactivated and hidden from the portal
  • Rejected — submissions that were not approved

3) The list shows the title, type, organisation, location, posted by, views, applications, and closing date at a glance.

Creating an Opportunity

1) From the Notice Board, click Add Opportunity.

2) Complete the form:
  • Select the Type (Job, Business, Volunteer, Mentorship, Event, or Other)
  • Enter a clear Title and Organisation name
  • Search for and select a Location, or tick Remote / Hybrid
  • Enter a Salary range and currency if applicable
  • Write a full Description using the rich text editor
  • Set a Closing Date or leave blank if open ended
  • Choose How to Apply — via email or external link
  • Tick Featured to pin the opportunity to the top of the board
  • Toggle Active to publish it immediately upon saving

3) Click Save Opportunity. If marked active, it will appear on the Notice Board immediately without requiring approval.

Reviewing Member Submissions

1) Click the Pending tab to see all member submissions awaiting review.

2) Click on any opportunity to open the full details.

3) Review the content carefully. You can edit any details directly before approving.

4) At the bottom of the page you will see three action buttons:
  • Update — saves any edits you have made
  • Approve — publishes the opportunity live on the Notice Board and notifies the member by email
  • Reject — opens a prompt to enter a reason; the member is notified by email with the reason so they can edit and resubmit

5) Approved opportunities move to the Active tab. Rejected opportunities move to the Rejected tab and the member can edit and resubmit from their portal.

Managing Live Opportunities

1) From the Active tab, click on any opportunity to open it.

2) You can edit any details and click Update to save changes without going through the approval process again.

3) To temporarily hide an opportunity from the portal without deleting it, click the Toggle Active button. It will move to the Inactive tab and disappear from the member portal.

4) To feature an opportunity and pin it to the top of the board, click the Feature button from the list. Featured opportunities are highlighted and always appear first.

5) To permanently remove an opportunity, click Delete from the list. This cannot be undone.

Understanding the Posted By Column

The Posted By column in the list helps you quickly identify the source of each opportunity:

  • A blue user icon with a name and "(Member)" indicates the opportunity was submitted by a portal member
  • A green shield icon with a name and "(Admin)" indicates the opportunity was created directly by an admin user

This is useful when managing a high volume of submissions, allowing you to prioritise member submissions that are pending review.

Tips for Managing the Notice Board

Review pending submissions promptly
Members receive an email when their submission is approved or rejected. A quick turnaround improves their experience and keeps the board fresh.

Use the rejection reason constructively
A clear, helpful rejection reason allows the member to correct their submission and resubmit successfully. Avoid vague reasons like "not suitable" — be specific about what needs to change.

Feature time-sensitive opportunities
Use the Featured flag for high-priority listings such as urgent vacancies or important community events to ensure they get maximum visibility.

Deactivate rather than delete
If an opportunity is no longer relevant but you may want to refer back to it, use Toggle Active to hide it rather than deleting it permanently.
